Project Manager

Job Summary

Job Description

As a Project Manager, you will run the daily execution of assigned projects across the BPI portfolio, maintaining the plans, schedules, trackers and dashboards that keep delivery on course from planning through close-out. You will work alongside internal teams, consultants, partners and government counterparts to follow up on open actions, monitor budgets, risks and milestones, and turn project data into clear reporting for BPI leadership.

Key Responsibilities

1. Day-to-Day Project Management and Follow-Up

  • Manage the day-to-day execution of assigned projects across the BPI portfolio, from planning through delivery and close-out.
  • Build and maintain detailed project plans, schedules, work-breakdown structures and milestone trackers in BPI's project management software, keeping them current at all times.
  • Track actions, decisions and deliverables from meetings, and follow up with stakeholders to ensure deadlines are met and the loop is closed on every open item.
  • Organise and support project meetings, including agendas, minutes, action logs and follow-up communications.
  • Flag bottlenecks, interdependencies, resource constraints and slippage early to the Senior Projects Portfolio Manager, with recommended corrective actions.
  • Maintain organised project documentation, filing structures and version control on shared platforms.

2. Analytics, Monitoring and Reporting

  • Develop and maintain portfolio dashboards, KPIs, status updates and milestone tracking systems, providing accurate weekly reporting on progress, risks and issues.
  • Monitor project expenditure against approved budgets, track commitments, and reconcile project-level data with BPI's central budget workbook, flagging variances promptly.
  • Analyse project data, including timelines, costs, resource utilisation, market and partner data, to produce insights, options and recommendations for management.
  • Prepare first drafts of project status reports, briefing notes and presentations for BPI leadership, the Board and external partners upon request.
  • Maintain project risk registers and issue logs, and support implementation of mitigation actions.

3. Stakeholder Coordination

  • Support day-to-day engagement with external project leads, consultants, investors, government counterparts and implementation partners.
  • Coordinate inputs across multiple workstreams and partners on joint initiatives, ensuring BPI delivery targets and performance metrics are achieved.
  • Prepare meeting briefs, minutes, action trackers and follow-up communications related to project delivery, risks and opportunities.

4. Portfolio and Organisational Support

  • Support the maintenance of the organisational master schedule and portfolio pipeline, ensuring project stage, priority and status information is accurate.
  • Support procurement and contracting processes for project goods and services, including gathering quotations, preparing documentation and tracking deliverables against contracts.
  • Contribute project-level inputs and data to annual work programmes, budgets and corporate reporting.
  • Recommend process improvements to strengthen project governance, reporting and coordination, and contribute to the continuous improvement of BPI's project management templates and tools.
Minimum Qualifications
  • Bachelor's degree in Business Administration, Management, Science, Engineering, Economics, Public Health or a related field.
  • Minimum of 5+ years' experience in project management, project coordination or PMO roles, covering project planning, scheduling and milestone management.
  • Demonstrated hands-on experience with project management software such as MS Project, Asana, Monday.com, Smartsheet or Jira, including building and maintaining project plans, trackers, dependencies and dashboards.
  • Strong analytical skills, including advanced proficiency in Excel (formulas, pivot tables, data cleaning) and the discipline to keep budgets, KPIs and trackers accurate.
  • Proven track record of proactive day-to-day follow-up across seniority levels, including action tracking, minute-taking, deadline management, and vendor and consultant coordination, handled with tact and persistence.
  • Demonstrated experience preparing status reports, briefing materials and presentations for senior management, board or external partner review.
  • Strong stakeholder management and communication skills, including engagement with government counterparts, regulators and external partners.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams/SharePoint) and project reporting tools.
  • Strong organizational and multitasking skills, with attention to detail and a problem-solving mindset.
  • Ability to work independently in dynamic, high-priority environments, with discretion, results orientation and high professional standards.
Preferred Qualifications
  • Professional certification in Project Management (PMP, PRINCE2, CAPM, Agile/Scrum or equivalent).
  • Project experience in the pharmaceutical, healthcare, manufacturing, infrastructure, multi-national or public-sector space.
  • Experience with reporting and BI tools such as Power BI or Looker Studio.
  • Exposure to budget monitoring, procurement processes or grant/donor reporting.
  • Experience supporting cross-border, regional or multi-country projects.
